The current administrator, Nancy, is retiring after 32 years of service. She lives in the area and will be available to help her successor learn the responsibilities.

Parish Administrator is responsible for the daily operations of Christ Church Ithan. The work will include organizing office operations and procedures, as well as management of clerical and accounting functions under the guidance of the Priest and Senior Wardens of the Vestry. Christ Church Ithan is a vibrant congregation in the Episcopal Diocese of Pennsylvania. Job Responsibilities:

  • Establish organized office operations and procedures, design filing systems, and perform clerical and accounting functions.

  • Provide a welcoming and helpful presence for everyone who visits the Church office or utilizes the Church facilities.

  • Maintain a functional communication system with the Priest, parish, vestry, staff, committee leadership, congregants, visitors, and outside entities.

  • Respond immediately to all requests, either in person, by email or by phone with confidentiality as a priority.

  • In conjunction with the Priest, create and distribute the weekly parish newsletter via email using Constant Contact.

  • In conjunction with the Priest, create and print bulletins for all Church Services.

  • Maintain the monthly schedule of lectors, ushers, crucifers, and altar guild. Post schedule online and on the bulletin board.

  • Notify Priest about requests for Baptisms, Weddings and Funerals.

  • Create and maintain parish records (baptism, confirmation, marriage, deaths), membership data (birthdays, anniversaries, etc.), diocesan records, physical plant certifications, memorial garden and other operational data, keeping them up-to-date and accurate both in hard copy and cloud- based backups.

  • Produce reports, membership directories, and other documents from parish records under the direction of the Rector, vestry, and committee leadership using Excel, Word, Mail Merge, and other applications as needed.

  • Maintain and order office supplies.

  • Maintain a church calendar of all events and rentals.

  • Staff the office with volunteer support for approved time off.

  • Contact person for outside organizations who currently use or would like to use our facilities. (AA, Montessori School, Valley Forge Chorus, and Rectory Rentals).

  • Responsible for Parish Accounting, including pledges, giving statements to parishioners, invoices, payroll, payroll taxes, and rental payments using REALM software.

  • Set up the Altar for Sunday Eucharist: chalice, paten, burse, veil, and water cruets. The Parish Priest changes the paraments.

Skills Required:

  • Proficiency in Word, Excel, Outlook, Constant Contact, REALM (ACS), Social Media and other programs as needed.

  • Excellent written and verbal communication skills.

  • Professional, friendly, positive attitude.

  • Self-starter.

  • Organized, motivated, and action-oriented.

  • Excellent time management skills and an ability to follow through without supervision Ability to be flexible and multi-task.

  • Ability to stay focused on deadlines, despite frequent interruptions, and to collaborate with many different people.

  • Willingness and desire to learn.

Salary and Benefits:

Salary commensurate with position. Paid twice per month.

Holidays observed by the Episcopal Diocese of Pennsylvania (may be adjusted at the Bishop’s discretion): New Year’s Day, MLK Day, Good Friday, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, Friday after Thanksgiving, Christmas Eve through New Years Day.
